The Requisition module manages internal purchase requests from preparation through approval, supplier allocation, and purchase order creation. It supports purchasing items and fixed assets, including partial quantities.
Documents
- Requisition Demand: records what an employee needs, the quantities, purpose, and estimated prices.
- Requisition Allocation: records the supplier, quantities, agreed prices, payment terms, warehouse, and delivery requirements.
One Demand can have several Allocations. One Allocation can be converted into several purchase orders.
Prepare A Demand
Open Purchases → Transactions → Requisition Demands and select +.
Enter Point of Use, Narrative, Priority, and applicable Dimensions. Point of Use, Narrative, and enabled Dimensions are required for submission; Details is optional.
Add item lines with quantities, estimated prices, and purpose. Select Fixed Asset when requesting an asset. Added lines remain read-only until their Edit action is selected.
Use Save Draft to continue preparation later, or Submit when the request is complete.
Priority
Choose Normal, High, or Urgent. Normal is the default.
Priority is visible to procurement and approvers and appears in inquiries and printouts. It does not change or bypass the approval workflow.
Approval
When a matching approval policy is configured, submission sends the document to the Approval module and locks it while approval is pending. Without a matching policy, submission completes the document immediately.
Demand and Allocation approvals are routed using the original Demand owner’s role. Approval applies to the whole document, not individual lines.
A rejected Demand can be edited and resubmitted by its owner. A rejected Allocation can be edited and resubmitted by the procurement user who created it, subject to permissions.
Prepare Allocations
From an approved Demand with available quantities, select Allocate.
Select the required lines and enter the quantities and unit prices. Choose a supplier; payment terms populate from the supplier and can be changed before submission. Set the warehouse, delivery date, and delivery address.
Each Allocation uses one supplier and one set of header terms. Create separate Allocations for different suppliers. Items and fixed assets must also be allocated separately.
Allocations can cover part of a line or selected lines only. Unallocated quantities remain available for later allocation.
Convert To Purchase Orders
Only approved Allocations with available quantities can be converted to PO.
Enter the quantities to purchase and select Create Purchase Order. A line can be ordered partially across several POs. Compatible lines from multiple Allocations can be combined when supplier, currency, payment terms, warehouse, address, dimensions, tax settings, and PO type match.
The PO follows its own approval policy independently of Demand and Allocation approval.
Quantity Control
The system prevents allocation, cancellation, or PO conversion beyond the available balance.
The Demand owner can cancel an unallocated balance on an approved, active Demand by entering a quantity and reason. Cancelled quantities remain visible for tracking.
For the new PO conversion flow, quantities reserved by a PO remain reserved if its approval is rejected or cancelled. They are not automatically returned for another PO.
Inquiries And Printing
Demand and Allocation inquiries provide filters, including Priority and enabled Dimensions. Allocation inquiry also shows PO conversion balances, PO references, and PO status.
Available outputs include individual Demand printouts, approved Allocation printouts, and a comprehensive Demand → Allocation → PO report. Printouts support PDF and Excel. Completed approval history appears when a finalised approval record exists.
